8x8 - Generic Guide for Desk Phones
Summary Use this quick reference guide to understand the dialpad shortcuts and key phone features supported by 8x8. Instructions Dialpad Shortcuts When placing calls or while on a call, you can use dialpad key shortcuts (also called star codes), on your desk phone or in Virtual Office, to perform various actions. Some star codes require special permissions for a user to perform that action. Star Code Function *67 Block Caller ID: Dial before calling a number to block your Caller ID from the other party. *69 Last Call Redial: Dial the last number you called or were called by. *78 Activate DND: Activate Do Not Disturb to send incoming calls to voicemail. *79 Deactivate DND: Deactivate Do Not Disturb to receive incoming calls. *80 Toggle DND: Toggle your Do Not Disturb status. *88 Flip Call: To switch an active call from one device to another on the same extension, dial from the device you want to use. *5 (BMW) Barge: If you are Monitoring a call, Barge in to speak with and be heard by both parties on the call. *6 (BMW) Mute: If you have Barged in on a call or are Whispering to an agent, you can Mute yourself. *9 (BMW) Whisper: If you are Monitoring an agent, you can Whisper to them without being heard by the party speaking with the agent. *22 (BMW) Monitor: Listen in on a live call without interrupting either party. *23 (BMW) Barge Direct: Barge in on a call without Monitoring or Whispering first. *0 Record Call (Applicable when call recording is enabled which may require an elevated license.) *66 Use with BLF extension to pick up call (*66 plus internal extension) *64 Intercom (*64 plus internal extension) *15 Transfer to voicemail (Start new call (hold old call); dial the extension of the voicemail box, and press # to transfer to the extension’s voicemail) *38 Call Park (Hold the call, then dial *38 to park the call on Park extension 461 to 469) *43 (HotDesk) Log into a Hot Desk host: *43 + extension number + voicemail password Log out of a Hot Desk host: *43 + extension number + voicemail password Log out of a Hot Desk host remotely: Log into a Virtual Office client. Dial *43. Transferring Live Calls to Voicemail On select phone models, a xfrVM softkey is presented on the phone when a call is active on that device. Press this softkey, and enter an extension terminated by # to transfer a call directly to that extension’s voicemail box. Parking Calls To park a live call: Select Park. Listen to the message that identifies the extension the call is parked on. Notify the intended recipient(s). To pick up the parked call, the recipient dials the extension that the call was parked on. Forwarding Calls 8x8 recommends using your Virtual Office desktop app instead of phone-based call forwarding so your call forwarding instructions are stored online instead of on the phone. If you set your call forwarding rules on your phone, they will not be in effect if your phone is disconnected from an Internet connection. To enable online call forwarding in Virtual Office: Log in to your Virtual Office desktop app. Go to Settings > Account Settings > Call Forwarding in the More tab. Update your call forwarding rules, and click Save. Recording Calls Recording calls is a subscription-based feature that can be managed via your 8x8 Virtual Office desktop app. You can record all calls, or record selective calls by turning call recording on and off using your CallRecord softkey. This softkey is only available to you if your subscription allows call recording. Press the Rec softkey during a call. You will hear an announcement that call recording has started. Press the Rec softkey key again to stop recording. You will hear an announcement that call recording has ended. BLF - Busy Line Field (if Enabled) Available as an optional 8x8 Power Keys add-on function, BLF keys monitor the status of other phones: When a phone that a BLF key is monitoring rings, the BLF key flashes. When a phone that a BLF key is monitoring is busy, the BLF key lights up. BLF Pickup: When a phone that a BLF key is monitoring rings, answer (intercept) the call by pressing the BLF key. BLF Speed Transfer: If you are on a live call, press a BLF key to instantly transfer the call to the phone that the BLF key is monitoring. BLF Speed Dial: To instantly call a phone that a BLF key is monitoring, press the BLF key. What is a Hot Desk Host? 8x8 Hot Desk host is a dedicated device that can be logged in to by a guest. As an extension user, use the Hot Desk host to log in to your extension, make and receive calls, and check your messages. To log in to a Hot Desk host: Dial *43. At the prompt, enter your extension number such as 106500. Enter your voicemail password such as 050505. The phone reboots and displays the user name and extension number. You can now make and receive calls like when you use your desk phone. To log out of a Hot Desk host: Dial *43. Enter your extension number followed by the voicemail password. The phone reboots and displays the host name and extension number. To log out of a Hot Desk host remotely: Log in to any virtual office client such as Virtual Office Mobile, Virtual Office Desktop, or Virtual Office Online. Dial *43. It logs you out from the Hot Desk host. Note: If you forget to log out, as soon as another user logs in to the Hot Desk, your extension will be logged out. Barge-Monitor-Whisper (BMW) Monitor Dial *22 or *BA before lifting the handset. Press Dial or Call. At the prompt, enter the extension number you want to monitor. You may be prompted for an access code. Enter the access code to begin monitoring. Important: Dial *22 before lifting the handset. Whisper To Whisper to the agent that you are already monitoring, dial *9 or *W. To exit the whisper, mute the supervisor’s audio, and revert to silent monitor mode, dial *6 or *M. Barge To Barge in on and join the call that you are already monitoring, dial *5 or *J. To exit the barge and revert to silent monitor mode, dial *6 or *M. Barge Direct To Barge directly in on a call without monitoring first, dial *23, then dial the extension number. You are now immediately in a three-way conference call with the active call.

8x8 - Video Meetings - Quick User Guide
Summary 8x8 Video Meetings with Virtual Office combines flexible communication capabilities with powerfully collaborative meetings. With 8x8 Video Meetings, take your team meetings to the next level via integration with your calendar, high- definition audio and video, and much more! Instructions Use Meeting Spaces 8x8 Video Meetings allows you to meet coworkers and contacts in assigned or purpose-made meeting spaces at any time! As an 8x8 user, you can access a personal meeting space from which you can launch instant meetings. In addition, you can create a temporary space with a custom-defined name when needed. Start Meetings Now Start via Meetings Tab In the Meetings tab, click Start next to the name of your personal meeting space to launch an instant meeting. In the meeting that opens, you can invite participants. By default, your audio and video are enabled automatically. Start via Chat While in a chat with a company contact, click the More icon next to the contact’s name to open a drop-down menu. From the drop-down, select Meet Now to start the meeting immediately. In the meeting that opens, you can join audio and invite additional participants. Schedule Meetings Sync with Your Meeting Calendar In the Meetings tab, sync the app with your preferred meeting calendar to see your upcoming meetings. Create Meetings In your preferred meeting calendar (such as Google Calendar), schedule a calendar event and invite participants. In Virtual Office, open the Meetings tab to see upcoming meetings in your synced calendar. If you did not sync your calendar, you do not see your upcoming meetings in Virtual Office. Next to the desired calendar event, click the Add meeting icon to attach your personal meeting space to the event. Participants invited to the calendar event now see details on how they can join the meeting via 8x8 Video Meetings in their calendar invite. Access Meetings Access from the Virtual Office Desktop App To access your meetings, open the Meetings tab of the app and go to: Upcoming: Access upcoming meetings in your synced calendar. Recents: Access details and recordings from your past meetings. Access from the Virtual Office Mobile App To access meetings, open the Meetings tab of the app to view your synced calendar. You can also go to: Meet now: Join a meeting using your personal meeting space. Join with ID: Join a meeting in a space other than your own. Recents: Access details and recordings from your past meetings. Join Meetings You can join meetings via the desktop app or via browser, or just join audio by dialing in. 8x8 Video Meetings supports dial-in numbers from over 50 countries! When you join, your microphone and camera are automatically enabled by default. Join via Virtual Office Desktop App Go to > Upcoming to view your synced meeting calendar. Click the desired meeting to join. Join via Email Invitation Open your email meeting invitation. You can: Join via link: Click the link included in your invitation to join the meeting. Your joining experience is different depending on whether you have the Virtual Office desktop app on your computer: If you have the Virtual Office desktop app: The meeting opens in the app. If you do not have the Virtual Office desktop app: the meeting opens in a browser tab. Join via dial-in for an audio-only experience: Call the listed dial-in number via phone. At the prompt, enter the neighboring ID code to dial in to meeting audio. If the phone number is not local to you, you can click a link that gives the full list of international dial-in numbers. Use Meeting Controls Upon joining the meeting, your audio and video are automatically enabled by default. Take advantage of the following meeting controls: 1. Expand/collapse Virtual Office (desktop app only): View the Virtual Office desktop app as a panel to the left of the meeting. 2. Share screen: Share your desktop or an app window to share in the meeting. 3. Raise/lower hand: Silently announce that you have something to contribute without interrupting the current presenter. 4. Open/close chat: Toggle the group chat panel for the meeting to chat with meeting participants. 5. Mute/unmute: Mute or unmute your microphone. 6. Leave: Exit the meeting. 7. Start/stop camera: Turn your camera on or off for meeting video. 8. Tile view: Switch between viewing all participants on a grid, or viewing the current speaker in a large central tile with non-speakers in a list on the side. 9. Invite people (Virtual Office only): Invite participants to the meeting. 10. Meeting info: View meeting details you can share to invite a participant indirectly, including the meeting URL, dial-in information, and more. 11. More actions: Access additional meeting controls: (Virtual Office only) Record the meeting. (Browser only) Toggle full-screen view. Manage your call quality to optimize your meeting experience. Stream the meeting live on YouTube. Manage additional meeting settings, such as your audio and video devices or meeting moderator controls. View meeting speaker stats to ensure all presenters have adequate time to contribute. Leave feedback on your meeting experience. View keyboard shortcuts you can use with 8x8 Video Meetings, such as toggling your chat panel, camera, or microphone with the press of a key. Record Meetings If not everyone can attend an important meeting, simply record the meeting for future reference and share it with participants as well as absentees. With the recorded meeting, you can ensure that everyone can review what was discussed in the meeting. In a meeting, click the More actions icon to open a menu. From the menu, select Start recording. At the prompt, select where to store the recording: In Virtual Office: Once the meeting ends, access the recording under Recents in Virtual Office. If you select this option, you can also choose whether other participants can automatically access the recording via Virtual Office, or whether you must distribute it to participants manually. In Dropbox: If you have a Dropbox account, you can use Dropbox as the storage space for your meeting; once the meeting ends, distribute the file to participants as needed. If you need to stop the recording before the meeting ends, access and click the recording option again to toggle it off. Share Content 8x8 Video Meetings with Virtual Office enables you to enhance your meeting experience by sharing content from your desktop. The collaborative nature of 8x8 Video Meetings leaves content sharing open to all participants! Click the Share screen icon to open a list of sharing options. You can: Share your entire screen. Share a specific application window. (Chrome only) Share a specific browser tab. Select the desired screen, window, or tab, and confirm. Your actions in the specified area are displayed to everyone in the meeting until you stop sharing by toggling the Share screen icon off.

8x8 - Voicemail - Password Setup or Change
Summary To set up voicemail from your desk phone or in Virtual Office Desktop. Instructions If you are logged into the 8x8 Work desktop app on the computer, please go to this link: https://user-profile.8x8.com/user-profile/voiceMail?on=noHeader and click "Reset access PIN". Setting your voicemail password for the first time? From your own extension, dial 555, then press the # key. The system will first state, "This is not a valid password." Stay on the line and listen to the brief voicemail tutorial. At the end, follow the instructions to set a voicemail password. If the above action doesn't work, go to Voicemail on the desk phone. When it prompts to enter a password, dial #555. It should prompt you to enter a new six-digit PIN. If it doesn't, the phone most likely already has a PIN. A ticket will need to be raised for the IT department to reset your PIN or if you have the 8x8 desktop app on your computer, you can change it through the app. Change Voicemail Settings in Virtual Office Desktop Login to Virtual Office Desktop Click the Settings wheel at the bottom left of the application > Voicemail > Reset access PIN Click Save at the bottom of the application

8x8 - Work Desktop App - Quick User Guide
Summary Get familiar with the Desktop App that provides the full functionality of the 8x8 phone system. Instructions Installation (if needed) If you don’t already have the 8x8 Work Desktop App installed, you can install it yourself by following the instructions found here. Alternatively, you can raise a Service Request through our IT Service Desk portal and someone will contact you to help you install the app. Log In Click here for the video. Skip to 3:45. Open the 8x8 application and log in using the Single Sign-On (SSO) option. You will use your Office 365 Credentials – the same username and password you use to login to your computer. (Your username is your email address) 1. 2. 3. 4. 5. Place Your First Call In the navigation bar, click the Search tab. Type in any phone number or contact name. In the search results, hover over the desired number or contact, and click the Call icon that appears to place a call. You can also search for contacts in your call history, or dial a number using the dial pad in the Calls tab. Check Call History Under the Calls tab, you can view details on call history and voicemails. Call logs indicate whether a call was missed, incoming or outgoing. Select a call log to view call details, duration and direction Navigation Call Using Desk Phone or App If you are a user with a desk phone assigned to your extension, you can route calls through the app or through your desk phone. In the header, click the Call Using icon to select whether you want to: Place and receive calls using your Virtual Office desktop app. Place and receive calls using your desk phone while taking advantage of advanced call controls in the app. Use IM and SMS With Team Messaging on the Virtual Office desktop and mobile apps, collaborate with your colleagues via chat more effectively than ever before! Communicate with company and external contacts, or with groups of colleagues in chat rooms for enhanced collaboration. From the Messages tab, create chat rooms on demand, stay up to date on your team’s discussions, bring multiple teams together to collaborate, and more! In the desktop app, you can also view your list of chat rooms independently of your one-on-one chats. Access Contacts From the Contacts tab, access company and personal contacts for communication and mark contacts as favorites for quick access. Your contacts are organized under: Company: Connect with coworkers on your company’s phone system. You can also sort company contacts by department or location. My Contacts: If you communicate often with contacts outside your company, you can create personal contacts visible only to you. Favorites: Mark frequently used contacts for quick access Under the Company sub-tab, click the Sort icon to quickly find contacts by department or location, or to view all company contacts in alphabetical order. Connect Outlook Contacts To easily organize and access phone numbers outside of your company directory, you can access your personal contacts from Outlook that are visible only to you. Go to Settings > Contacts Click Import from Outlook Click OK to the Choose Profile prompt Leave the default selections at the Import Outlook Contacts prompt and click Import Your contacts from Outlook will be imported into the 8x8 system and will only be accessible to you. You might need to go back to this setting periodically to re-sync if you add contacts to Outlook after the initial sync. Access Fax Open the Fax tab to view and send faxes. You can view who sent the fax, how many pages were sent, and if there was an error while sending a fax. **Please note that for this functionality to be available, you must be assigned a Fax number by your IT department. Please raise a Service Request if this functionality is a requirement in your position. Collaborate Via Meetings With 8x8 Video Meetings, host or participate in productive business meetings using the desktop app. Record meeting content, share your screen, and much more.

8x8 - Voicemail - Update Greeting
Summary Learn how to create or change your outgoing voicemail greeting. Instructions Using Your Phone Access the voicemail system: From your own extension: Dial 555 and enter your voicemail password, followed by the # key. From another extension in your system: Dial 500, enter your extension number, then enter your voicemail password, followed by the # key Press the * key to enter the Main Menu. Note: If you have no saved voicemail messages, you should enter the Main Menu automatically. You can skip this step. From the Main Menu, do any of the following and follow the subsequent audio prompts: Press 2 to change your greeting. Options include using just your first and last name; setting distinct internal (on-network) and external (off-network) greetings; and changing greetings to be used at certain times or occasions. Press 3 to change user preference options. Options include: change voicemail password; call waiting preferences; busy handling; ring no answer handling; Internet outage routing; and email notification preferences. Press 4 to establish or change call forwarding rules. Options include: listen to, set, change, or cancel call forwarding rules. Press 5 to set a specific greeting for business hours, after business hours, lunch time, meeting, weekend, and vacation. Press 6 to enable or disable “announcement only” mode (e.g., your vacation greeting). Press 9 to exit voicemail. Using Virtual Office Desktop App Log in to Virtual Office Desktop App Click Settings Select Voicemail Under Voicemail Settings, go to the voicemail greeting you wish to change or create (External Voicemail Greeting or Internal Voicemail Greeting). Click Change. Select an existing audio file or click + Create audio files to record or upload a new audio file. Uploading an Audio file Select By Uploading an Audio file. Give the file a name. Optional: Leave a note for yourself to tell what the file is for. Click the musical note and browse your computer to find the correct audio file, or drag and drop an audio file onto the screen. Click Save. Click Select to the right of the audio file you would like to use. Calling a Number To Record Select By Calling a Number to Record. Give the file a name. Optional: Leave a note for yourself to tell what the file is for. Type in the Phone Number or Extension you would like it to dial (this can also be an external non-8x8 number). Select Call Now. The system will call you. Follow the prompts to record your greeting. Select Finished Recording. Click Save. Click Select to the right of the audio file you would like to use. Click Save to update the changes.

8x8 - Install the 8x8 Work for Outlook Plugin
Summary You can schedule a conference call using your 8x8 account from within the Outlook Calendar item. Please note that every 8x8 conference call can be a video conference, audio call only and/or a screen sharing presentation. Anyone joining the meeting from their computer will have all these options available. Instructions If you do not already have the plugin installed, you can follow the steps below. You can see if the plugin is already installed by looking at the toolbar in Outlook for the 8x8 button (example below). If it is there, you can learn how to use the plugin here. Install the Outlook Plugin for Virtual Office Meetings 1. Search for the search icon on the taskbar and type control and select Control Panel. 2. Click "Get Programs". It should take you to "Install a program from the network" You may see this screen if you accidentally click "Uninstall a program", but you can still get to "Install a program from the network". 3. Click the 8x8 Work for Outlook Plugin listing and then click the Install button. The installer program will run. Click OK when notified that the setup completed successfully. Note: If you don't see the 8x8 Work for Outlook on the list, it's most likely you're trying to install this program off the network. You need to be on the company network. If you are home, please use your VPN connection. Allow it a minute or so before attempting again. The network drives will map out after it connects on VPN. Start Outlook. If Outlook was open, close it and then open it up again. You will be prompted to login to 8x8. Click Use Single Sign On. Type in your email address and click Continue. Click Log in using SSO You are now logged into 8x8 through the Outlook plugin and can schedule conference calls using the procedure found here.

8x8 - Add a Conference Call to Your Outlook Meeting
Summary You can schedule a conference call using your 8x8 account from within the Outlook Calendar item. Please note that every 8x8 conference call can be a video conference, audio call only, and/or a screen-sharing presentation. Anyone joining the meeting from their computer will have all these options available. Instructions Create a Conference Call Meeting Using the 8x8 Virtual Office Outlook Plugin Create a new Meeting in Outlook. In the new meeting windows, configure your standard meeting details – dates, times, invitees, etc. Once your meeting is set up and ready to send, click the Add 8x8 Meeting button. (If you do not see this button - example below - you may not have the 8x8 Work for Outlook Plugin installed. Click here to find out how to install this plugin.) Details will be inserted into the body of the meeting invitation A link to join the meeting will open the 8x8 Desktop App if you have it installed. For guests that are not part of our organization that do not use 8x8, a browser-based app will open to allow them to connect video, audio, etc. If guests want to join by phone call only, a phone number with conference code is available in a tap to call format. This alleviates the need for them to type in the conference code manually. By inserting an 8x8 Work Meeting into an Outlook Meeting in this way, you can also now find the meeting in your 8x8 Desktop or Mobile app in the Meetings tab and join or start the meeting from there.

8x8 - Install 8x8 Work App for Windows
Summary Learn how to install the 8x8 Work App for Windows. This is intended for laptops since you can utilize the mic and speakers. If you are using a desktop, then you won't be able to use a mic unless you use a headset or external USB mic. Your hospital should be able to purchase this for your desktop setup. If they're unsure, have them reach out to us. Instructions 1. To download the 8x8 Work App from 8x8's website, click the link found here. Scroll down until you see "What to Consider." Click on the download link. This method ensures you have the latest version. 2. Once the link is clicked, it will start downloading. Depending on the browser, you may see it downloading in the lower left corner of the browser or upper-right corner. After it finishes, you can double-click on the file to install the program. Login instructions are in step 3 below. Note: If you still can't find it, open your File Explorer and look for your Downloads folder , and look for your downloaded file. 3. The installed application will start on its own and present you with a login screen. This will authenticate through the browser. If you're not signed in the browser, the authentication will fail. Most users will be signed in at this point. Do not skip the Login Instructions below, this is where most people fail. LOGIN INSTRUCTIONS: Follow the instructions found here to log in and use the app.

8x8 - Login to the 8x8 Work Mobile App
Summary Download and install the 8x8 Work app on your iOS or Android device and then follow the instructions below to log in successfully. Links to download from each app store are below. YOU MUST BE ENROLLED IN DUO BEFORE LOGGING INTO THIS APP. If you're a new employee and haven't enrolled in Duo, please check your email and find your Duo enrollment email. If you don't have an enrollment email or it's expired, please create an incident. Failure to enroll will prevent you from using the application. iOS: Android: Instructions Log In Open the 8x8 Work app on your mobile device and log in using "Login with Organization." You will use your Office 365 Credentials – the same username and password you use to log in to your computer. (Your username is your email address). If you never logged in before, you'll see the Microsoft Sign in screen. Type in your company email and the password you use to sign into the computer with. or Tap Login on the initial startup screen. Tap the User/Email field and enter your Company Email. Tap on the Login with Organization or Microsoft Sign in. Type in your Company Email Address again and tap Next (Check your spelling on this step. Any misspelling could prevent your account from being seen on Sign Sign-On.) Type in your Computer Password and tap Sign in. After step 5, you should see a Single Sign-On screen. Use your computer password. You will see a DUO push notification from your app. If you do not, then you're most likely not enrolled in DUO. After you "Approve" DUO, your 8x8 app will open up. If you failed logging in on step 6, you most likely need to enroll in DUO. If you're new employee, check your email for a Duo Enrollment. If you're an existing employee, please create a ticket and request a new DUO enrollment.
