8x8 - Schedule an 8x8 Meeting From Your Mobile Device
Summary If you are on the go and need to schedule a conference call or video meeting in 8x8 you can do so using the Outlook and 8x8 mobile apps. *Note that you must have both the Outlook & 8x8 mobile apps installed on your device and be logged into them both. Instructions Use the Outlook app to create a new meeting. Open the Outlook app. Tap the Calendar button near the bottom right of the screen to view your calendar. Tap the + in the top right of the screen to create a new meeting. Fill in the meeting details - Title, Invite People, set the time, etc. Once the details are correct, tap the checkmark icon at the top right of the screen to save your new event. Use the 8x8 app to add an 8x8 meeting to the new event. Open the 8x8 app and tap the calendar icon near the bottom right of the screen to view your Outlook calendar If you haven't already connected your Outlook calendar to 8x8, follow the directions on screen to do so. You are now viewing a synchronized copy of your calendar in Outlook. Find the new event you just created in the list of upcoming events. If you do not see the event, pull down on the screen to force a refresh. If you still do not see the event listed, then the meeting you created is too far out in the future. You can add the 8x8 portion of the meeting on your computer next time you are able. Tap the blue + icon next to the event you want to add an 8x8 meeting to. A pop up message will appear asking you to confirm if you want to add an 8x8 meeting to this event. Tap Yes. The meeting in Outlook will be updated with 8x8 meeting details and all recipients will be updated accordingly.

Add Email on Your Mobile Device with Outlook for iOS or Android
Summary It is possible to add your work email to your mobile device. To do so, you will use the Microsoft Outlook mobile app on either iOS or Android. The instructions below are geared toward iOS but should be very similar to Android. ! Note: Only certain positions will be authorized to have email access through the Outlook app. Salary positions will most likely get approved. Hourly positions will most likely get denied. This only applies to the app, but not to the website: https://outlook.office.com. Once complete, you will receive an email indicating that your device has been quarantined and requires approval. If your job title has been approved to receive mail on mobile devices, your request will be approved and you will be notified via email that your mobile device was activated. Please be patient as this process may take a few hours to complete. Note: Please be advised that you must be enrolled in Duo for this to work. If you're NOT enrolled, you'll see a message saying you need a "Bypass Code." If you're enrolled, you should receive a push notification through your Duo app on your phone. Click Approve. Instructions Download Outlook for iOS from the iOS App Store and then open it. DO NOT USE THE BUILT-IN MAIL CLIENT OF YOUR PHONE. IT'S NOT HIPAA COMPLIANT. Failure to use the Outlook app will result in a rejection from the IT department. If it's your first time using Outlook for iOS, enter your full email address, then tap Add Account. If not, open the Menu > tap Settings > Add Account > Add Email Account. Enter your email account password and tap Sign In. Accept any prompts for permission you may receive. Swipe through the features and you're now ready to use the Outlook mobile app. PLEASE BE ADVISED THAT YOU'LL INITIALLY RECEIVE A MESSAGE FROM THE SYSTEM THAT YOUR EMAIL HAS BEEN QUARANTINED. THIS IS A NORMAL MESSAGE THAT ALERTS THE I.T. DEPARTMENT FOR APPROVAL. PLEASE ALLOW SOME TIME FOR THIS PROCESS. IF APPROVED, YOUR EMAIL WILL START FLOWING. Outlook Does Not Work On My New Phone or Mobile Device
Summary If you are seeing a quarantine message from Outlook while trying to access your email, it's probably because you have recently upgraded your mobile device or are trying to access Outlook from a new device that you haven't used before. This message indicates that your Outlook account is under quarantine until it's approved by your IT administrator. It's important to keep in mind that Outlook will only work on devices that have been approved by your IT department. Even if you have previously accessed Outlook on another device, you'll need to have your new device approved before you can access Outlook. Note: You must be enrolled in Duo before adding email to your phone. Only certain positions will be authorized to use Outlook on the phone. How do you know who's authorized? If you're salary, you are most likely to be approved. If you are hourly, then most likely not. Instructions 1. Install the app. Instructions can be found here in the solutions article. You cannot use the built-in mail client of the phone. It has to be the Outlook App from your device's App Store. 2. You will see a notification on your mobile device that it's been blocked or quarantined. The approval process begins as soon as you see the message. A ticket is automatically created in our system. The IT department will review your request, even if you were approved before. It's an automated process. It's unnecessary to create a ticket saying you received a message saying it needs to be approved by an IT administrator. You should receive a notification that it was approved or disapproved. This is based on the job title of your position. If approved, your emails should start flowing within an hour of approval. If disapproved, you'll see a notification from the ticketing system explaining why. ! Please be patient as our system administrator handles daily requests from multiple hospitals. Requests could be processed within minutes to several hours. Expect an SLA of no more than two business days. If you haven't received approval within that time frame, please create a ticket so we can help expedite it. Please refrain from creating a ticket asking when it'll get done. Troubleshooting There isn't a whole lot the IT department can do with personal devices and the Outlook App itself. It's up to you to ensure your phone is up to date. Treat it like a computer. When Outlook isn't working, try some of the suggestions below. Restart your device Check for software updates on your device Delete the Outlook App and reinstall it Double-check and make sure the account is working. Do this by visiting the Landing and opening Outlook Web Mail. If you're not receiving any email, check and make sure you have a signal. You may need to switch between cell tower and WiFi.
