8x8 - How to Access Ring Group Voicemail
To access Ring Group voicemail, dial 500 from any extension in your 8x8 system. Enter the Ring Group extension number and press #. Learn more here. Summary Accessing your Ring Group voicemail. After completing ring groups voicemail setup, your ring group voicemail options can be accessed by dialing in from within your 8x8 phone network and entering the ring group's voicemail password. From here, you can configure the same options as for an individual extension, including: Listen to, save, and delete voicemail messages. Record, set, and change various outgoing greetings. Adjust various user preferences. Instructions From any extension in your 8x8 system, dial 500. Enter the Ring Group extension number and press #. Enter the Ring Group voicemail password and press #. From the Main Menu: Press 1 to listen to your messages. Press 2 to change your greeting. Press 3 to manage user preference options: change voicemail password, call waiting preferences, busy handling, ring no answer handling, Internet outage routing, and email notification preferences. Press 4 to establish or change call forwarding rules. Options include: listen to, set, change, or cancel call forwarding rules. Press 5 to set a specific greeting for business hours, after business hours, lunch time, meeting, weekend, and vacation. Press 6 to enable or disable Announcement Only mode (e.g., your vacation greeting). Press 9 to exit voicemail.

8x8 - Unable to Receive Inbound Calls Notifications On 8x8 Work Mobile App
Summary Calls are not coming through the 8x8 Work mobile app. Instructions You can visit the 8x8 support here or follow the procedures below. Procedure Login into 8x8 Work Mobile App Tap the profile image icon in the header to open your Profile screen. Ensure your Status is not set on DND Check Mute notification is not ON which block incoming notifications temporarily. Ensure Business hours are scheduled as per user working hours as calls will not offer to the user if Business hours are set incorrectly You can also turn off Business hours If none of the above steps works, try removing the 8x8 app from the phone, restart the phone, and reinstall.

8x8 - Book a Video Conference in a Conference Room
Summary You can use the Scheduling Assistant and Room Finder to help schedule your meetings and avoid double-booking conference rooms. You can also add an 8x8 Video Conference to your conference room meeting to enable the use of the TV, camera and tablet. Instructions View the Conference Room Calendar If you just want to view the availability of a conference room without scheduling: Click the Calendar icon at the bottom of the left pane in Outlook Under the Rooms section, locate and click the conference room you are interested in. Use the Scheduling Assistant From the Inbox, select New Items > Meeting, or in the Calendar, select New Meeting. Add attendees in the Required or Optional box. In the Title box, enter a description of the meeting or event. Select Scheduling Assistant from the Ribbon near the top of the window. You will see a row for every recipient you entered in the Required or Optional box. If you want to add more attendees, you can type their name in any blank row in the Scheduling Assistant. If you want to add a Conference Room to the meeting, click the Add Rooms button found in the menu ribbon at the top of the window. Conference rooms are named by location and then name of the conference room. Times that your attendees/conference rooms are busy are shown in dark blue. Times that your attendees have a tentative appointment are shown in a light blue hashed block, and times outside of your attendees' working hours are shown in light gray. Select an available time for all your attendees. If you want to make the meeting recur, on the Meeting menu, in the Options group, click Recurrence, select the recurrence pattern, and then click OK. When you add a recurrence pattern to a meeting request, the Meeting menu changes to Recurring Meeting. Add an 8x8 Video Conference to Meeting Go back to the main Meeting tab and click the Add 8x8 Meeting button Details will be inserted into the body of the meeting invitation A link to join the meeting will open the 8x8 Desktop App if you have it installed. For guests that are not part of our organization that do not use 8x8, a browser-based app will open to allow them to connect video, audio, etc. If guests want to join by phone call only, a phone number with a conference code is available in a tap-to-call format. This alleviates the need for them to type in the conference code manually. When you are done setting up your meeting, click Send. Starting/Joining a Video Conference from a Conference Room Utilizing the TV, Camera and Tablet If you've setup your Outlook meeting following this KB, you will be able to host the Video Conference in a Conference Room outfitted with a TV, camera and tablet. How To Use the Conference Room TV for Video Conferences or Displaying a Laptop
I WANT TO START A SCHEDULED VIDEO CONFERENCE This assumes you have scheduled a meeting using Outlook, included this Conference Room in the invitation and added an 8x8 Meeting to the invitation. If you need a guide on how to do this, click this link to access our KB article on the subject. Turn on the TV Ensure the Source is set to Video Conference (HDMI 2) If the Source is already set to Video Conference, the TV should display the 8x8 schedule of meetings with the current Date and Time. If not, press the Source button on the TV remote to toggle the source to HDMI 2, labeled Video Conference. If you don’t see your meeting listed on the schedule, you need to be sure that you schedule the meeting in Outlook to include the Conference Room and added an 8x8 Meeting to the invitation. Refer to this link for instructions on how to do this successfully. Tap the Join button on the tablet next to your scheduled meeting. You will use the tablet on the Conference Room table to start and control your video conference. If you don’t see the 8x8 app active on the tablet screen, press the home button on the tablet and then tap the Meeting Rooms app. Your Video Conference will now start and you will see yourself along with anyone else who has already joined the meeting on the TV screen. You can mute yourself or end the meeting using the controls on the tablet. Helpful Hints If anyone in the room wants to share their laptop screen with all meeting participants, the best way to do this is to open a browser and go to the web address displayed at the bottom right of the TV screen. The URL will look close to share.8x8.vc/xxxxx If you scheduled the conference room but forgot to add the 8v8 Meeting component, you can go ahead and add it to the meeting now. After adding the 8x8 Meeting to the Outlook Meeting and sending the update, you will have to wait a few minutes before the tablet will update with a Join button. You also have the option to just join an 8x8 meeting manually. This might be useful if someone scheduled a video conference that you want to join in the Conference Room but neglected to include the Conference Room in their Outlook invitation. To join a meeting manually: Tap Join With ID on the tablet Look at your Outlook Meeting with the 8x8 Meeting information included and find the meeting link that you would normally click to join. Type in the Meeting ID portion of that link – it is the portion after the last / in the link, and then tap Join. I JUST WANT TO SHARE MY LAPTOP SCREEN WITH PEOPLE IN THE ROOM – NO VIDEO CONFERENCE WITH REMOTE PARTICIPANTS Turn on the TV Ensure the Source is set to Table Laptop (HDMI 1) If not, press the Source button on the TV remote to toggle the source to HDMI 1, labeled Table Laptop. Plug in the HDMI cable found on the table to your laptop. If your laptop does not have an HDMI port, use the USB-C adapter provided. You have four options for how to display your laptop on the TV. You can toggle through these options by pressing F8 on your laptop. Those options are: Duplicate (Duplicate what you see on your laptop screen to the TV) Extend (Use the TV as a second monitor and display different content on the TV and your laptop screen) PC Screen Only (Blank out the TV screen and only display on your laptop. This is typically used temporarily while you prepare material to be displayed to the room.) Second Screen Only (Blank out your laptop screen and only use the TV to display to the room)

How to Send a Fax through 8x8 Work for Desktop
Summary Sending a fax through Work for Desktop. Instructions from the 8x8 website. This applies to users that have the license and job position that requires it. Please note that this emulates a real fax machine, so it will not fax any quicker because it's on a network. If you are able to send documents through email, please do so. You can also use encryption for email. Instructions found here. Instructions Log in to Work for Desktop. Click Fax. located in your tool bar on the left side of your 8x8. Click New. Click To: to select the fax recipient. You can select an existing contact or type the destination number in the search bar. To attach a file to send, click Attach (paper clip) or drag and drop a file into the Work for Desktop window. When all documents are attached, click the Send. Allow the document time to send. Multiple attachments, documents with multiple pages, or large documents that contain images can take longer to fax. Customize Your Fax Cover Sheet While creating new fax, click Open in the Cover field to open the cover page details. Multiple recipients numbers can not be added to the "To" field Internet Fax Limitations Attach multiple files in a single fax, to a total of just under 19 MB. You may experience issues sending or receiving faxes more than 20 pages in length. 8x8 - How Do I Delete My Voicemails?

With 8x8 Work, there is a simple way to delete several (or all) of your voicemails permanently and at once! Do you use our Voicemail-to-Email feature? Remember that deleting these emails does not remove them from your voicemail box. When it gets full, you can’t receive new voicemails until you make room for more. Applies To Work for Desktop Work for Mobile Procedure Deleting in Bulk From Work for Desktop In Work for Desktop click the Phone icon. Click the Voicemails tab. Hover over a voicemail you want to delete and you will see 3 dots appear on the right Click More Options (three dots) > Delete. Click either Select All > Delete. If you want to delete all the voicemail OR Click the boxes next to all the voicemail you want to delete individually and then click Delete From Work for Mobile In Work for Mobile tap the Calls icon. Tap the Voicemails tab. Slide a voicemail to the right and click Select All. Tap Delete. Deleting Single Voicemails by Phone On your phone, access voicemail options: From your own extension Dial 555and enter your voicemail password. From another extension in your system Dial 500, enter your extension number, then enter your voicemail password. From the audio main menu, press 1to Review Messages. Press 1 to listen to New messages. Press 2 to listen to Old messages. Press 3 to listen to Group messages. 8x8 | Unable to log in
Summary This is our number one ticket when it comes to 8x8 issues. It's really not the user's fault because 8x8 can make it tricky to log in. Besides, how often are you signing in? It normally just opens up. For those that forgot that Single Sign On (SSO) is linked to your 8x8 for logging in, you're not alone. There could be other problems other than SSO such as Duo or a problem with the 8x8 service. For anyone that is troubleshooting, you MUST have an 8x8 account. If you don't have an account, 8x8 will not work for you. Only certain positions have 8x8. Troubleshooting 1. If you think you just forgot how to sign in, please visit this existing article about logging in. https://nobis.freshservice.com/support/solutions/articles/16000005651 2. If you are signing into 8x8 correctly, but it's prompting a bypass code, it's because you're not enrolled in Duo. This is very confusing for first-time users. Duo is whitelisted for employees while connected to our network in the hospital. This is the reason why you're signing in twice the first time you open up a web browser. The first log-in is for Share Point, the second part is SSO for enrolling in Duo. Since it's whitelisted, it didn't make you enroll. If you were outside of the company network when signing into the browser or email for the first time, you saw the Duo enrollment. If you scanned a QR code with the Duo mobile app on your phone, then it's a good chance you enrolled successfully. 3. The way you know 8x8 is connected to your computer account is it wants you to log in with your Organizational account. If you don't see it, there could be a problem with your account. It's possible during the 8x8 account creation that SSO did not link to our system. If this happens, you won't see the Organization login. The other possibility is that you had an existing account in 8x8 and it's using your previous email instead of your new company email. Make sure you're using your new email. If you're unsure how to do this, uninstall and reinstall the app. 4. A disruption in service could be a problem. Outbound Calls Are Being Marked as Spam

Applies To 8x8 Work 8x8 Contact Center Resolution Calls/numbers being marked as spam is done on the destination carrier so 8x8 has no control over the designation or removal from their spam lists. If your number has been designated as spam, the best solution would be to reach out to the destination carrier directly and request that your number be removed from their spam list. In addition, below are some carrier specific resources you can submit a request to: ATT Sprint T-Mobile US Cellular Verizon Cause Illegal robocalls and spam calls have been an increasing problem that affects everyone, regardless of phone number, carrier or location. They have become unavoidable, flooding phone networks with spam calls so frequently that most people have been accustomed to not picking up calls from unknown numbers. Scammers will use tactics such as illegal caller ID spoofing so it appears that an incoming call is coming from a local number, or from a company or government agency that you may already know and trust. They do this in an attempt to steal your money or personal information which can be used in fraudulent activity. In the US alone, consumers are hit with billions of spam calls every month. Unfortunately this illegal practice is very profitable and has thus far been difficult to mitigate. The Federal Communications Commission (FCC) is aware of this; these illegal unwanted calls are their top consumer complaint and top consumer protection priority. These include complaints from consumers whose numbers are being spoofed or whose calls are being mistakenly blocked or labeled as a possible scam call by a robocall blocking app or service. Some of the steps the FCC has implemented to combat illegal spam calls include: Issuing hundreds of millions of dollars in enforcement actions against illegal robocallers. Empowering phone companies to block by default illegal or unwanted calls based on reasonable call analytics before the calls reach consumers. Allowing consumer options on tools to block calls from any number that doesn't appear on a customer's contact list or other "white list." Requiring phone companies to implement caller ID authentication to help reduce illegal spoofing. Making consumer complaint data available to enable better call blocking and labeling solutions. Most if not all major phone carriers have implemented measures to combat spam calls which can range from: Labeling calls as spam to the destination phone based on data analytics, network intelligence and customer reports. An example attribute would be high volume short duration calls. Providing services that automatically blocks suspected spam calls. Installing an app to block/report calls as spam (which can factor into the carrier's data analytics) iPhones and Android phones come with built-in features for blocking specific phone numbers. There are also various 3rd parties who provide services to reduce spam/robocalls: Nomorobo Hiya YouMail Free Caller Registry It’s important to note that many robocalls are legal. The FCC allows them for some informational or noncommercial purposes, such as: Messages that are purely informational. Robocalls about your flight being canceled, reminding you about an appointment, or letting you know about a delayed school opening fall into this category, as long as the caller doesn’t also try to sell you something. Debt collection calls. A business contacting you to collect a debt can use robocalls to reach you. But robocalls that try to sell you services to lower your debt are illegal and are almost certainly scams. Political calls. Calls from some health care providers. This includes a robocall from a pharmacy reminding you to refill a prescription. Messages from charities. Charities can make these calls to you themselves. But if a charity hires someone to make robocalls on its behalf, unless you are a prior donor or member of the charity, the robocall is illegal. They also must include an automated option to let you stop future calls. The FCC has took a big step towards eliminating illegal spam calls by requiring providers to implement STIR/SHAKEN in the Internet Protocol (IP) portions of their networks in 2021. The STIR/SHAKEN framework, an industry-standard caller ID authentication technology, is a set of technical standards and protocols that allow for the authentication and verification of caller ID information for calls carried over Internet Protocol (IP) networks.
